Internal recipients: this refers to all internal staff involved in enabling you to benefit from the hotel services you have booked:

  • Hotel staff who will process requests you have expressed before/during or after your stay (1 extra bed, a baby bed, special attention in room, spa treatment booking, dinner, sending your invoice, etc.),
  • Support staff such as commercial, marketing & communication service that manages your subscription or unsubscription requests to the newsletter and special offers, who sends you emails related to confirmation of your stay, or orders you have made on our website or via our application.
  • The IT service that has established connections between the reservation system and the Hotels’ client management system.

External recipients: subcontractors, service providers, banks. The transmission of information has the sole purpose of perfect execution by WOOD Hotel & Spa of the services you have requested and the exclusive pursuit of your satisfaction. Finally, local or national administrative or judicial authorities if they request access to your personal data to the extent that the law would require it.

HOW IS YOUR DATA PROTECTED?

WOOD Hotel & Spa undertakes to take the necessary measures to guarantee the confidentiality of data and prevent its disclosure to unauthorized third parties.

Data protection and security

Sensitive transactions

Sensitive transactions, such as banking details, are transmitted securely by encryption and authentication algorithms. These secure transactions are identifiable by the presence of a closed padlock in most browsers.

More specifically, it is specified that for payment purposes, banking details are collected and stored by our online booking engine providers D-EDGE certified PCI-DSS and PROTEL certified NF525. These standards are international security standards whose objectives are to ensure the confidentiality and integrity of cardholders’ data, and thus secure the protection of card and transaction data.

However, WOOD Hotel & Spa does not control all risks related to Internet operation and draws the attention of Internet users to the existence of possible risks inherent to its use and operation.

WOOD Hotel & Spa implements appropriate means to preserve the encryption and security of data that you agree to communicate to us in accordance with applicable legal and regulatory provisions.

We process your personal data on GLB servers hosted by third parties (network operators or infrastructure service providers) and we implement the necessary means to secure our service. These servers being located in France, your personal data is therefore processed on a French server. Similarly, we impose on our providers or subcontractors having access to your personal data solely in the context of managing your reservation and/or stay at WOOD Hotel & Spa the same security conditions. Their servers are located in France and are thus subject to the same applicable European regulation regarding personal data security.

Video surveillance
WOOD Hotel & Spa has placed its premises under video surveillance to ensure the security of its customers, staff and property. Images recorded by this device are not used to monitor staff or control working hours.

Images may be viewed, in case of incident, by authorized WOOD Hotel & Spa staff (Mr. Stéphane Calçada, director acting as DPO, or one of his assistants) and by law enforcement. Company personnel in charge of equipment maintenance may also access images, for this sole purpose.

HOW LONG IS YOUR DATA RETAINED?

The personal data you provide us is kept for a maximum period of ten years, from the date of your last activity on our website or from the departure date of your last stay.

Retention of collected data

In the context of personal data, WOOD Hotel & Spa keeps the information collected for a maximum period of ten years,

In the context of the hotel’s video surveillance system, images are kept for a maximum period of 1 month. In case of incident related to the security of persons and property, video surveillance images may nevertheless be extracted from the device. They are then kept on another support for the duration of the settlement of procedures related to this incident and accessible only to authorized persons in this context.

In accordance with the “computer and freedoms” law of January 6, 1978 as amended, you have a right of access, modification, deletion, opposition and rectification to information concerning you.
